SituationHub Directions

Here are the directions to use SituationHub

  • Log into SituationHub.com
  • Click where it says, “What’s Your Situation?”
  • Select the Event that corresponds to your Situation.
  • When little is known, select A-1 First Critical Statement as your event.
  • If no Event matches your Situation specifically, select A-1 First Critical Statement as your event. This is a perfect statement to use when only a few facts are known about any Situation.
  • For any Event that you select, answer all questions for the Event.
  • There is no “go back” option. Answer all questions, then edit statements upon completion of all questions.
  • Once all questions have been answered and there are no errors, click the Alert Team button.
  • Team members will get an email alert and a text so they can review the facts that are known at this time.
  • Team members can follow the link in their alert, which will take them to the SituationHub.com login.
  • Team members must log in with their email address (lowercase) and password.
  • If a person does not remember their password, have them use the Forgot Password button.
  • Once in the app, the link will take the user to the Situation Room.
  • Team members must confirm that the facts are correct.
    • Some members have User rights. They can start an event but cannot edit the event once it is in the Situation Room.
    • Other members have Company Admin rights. They can start an event and can Claim Edit Rights. They can also Publish a statement to the public web.
  • One of the Company Admins must Claim Edit Rights.
  • All other persons will have a Read Only view.
  • The Editor can make edits. Other users can text edits to the Editor.
  • Correct any errors.
    • You will see the following Directions on the editing page:

      • Review facts for correctness.
      • Edit errors but do no rewrite the language in the sentences.
      • Use the Alert Team button to notify your crisis team of this event.
      • Team members can text corrections to the designated editor.
      • Print this page to read as a script to the media.
      • Copy this page to a Word document if needed.
      • Click Publish Statement to publish to our public site.
  • Do not waste time attempting to rewrite the statement for style.
    • You should not rewrite the statement into traditional prose style writing with long paragraphs and complicated sentence structure.
    • Your statement is intended to read more like a news story than like a publicity-style news release.
    • Each word has been chosen carefully for a reason.
    • If the facts are correct, speed of communication should be a priority over re-writing sentences.
    • Re-writes delay communications and defeat the purpose of the software.
    • Our rule is Fast, Factual and no Fluff.
  • If the facts are correct and you need to conduct a media interview or hold a news conference print your statement as seen in the Situation Room.
    • The numbered paragraphs in the Situation Room printout will help you keep track of your place while reading the statement at a news conference.
  • In the Situation Room, you can add photos and or videos to your statement.
  • You have options to change fonts and text styling.
  • If your facts are correct, your next step is to share your statement with stakeholders, such as employees, the media, customers, your community, etc.
  • You can copy what is on the page in the Situation Room or you can use the Code button to copy the code.
    • Option 1: If you have access to your company’s website, you can publish the statement to your company’s website.
    • Option 2: If you click the Publish button in the Situation Room, your statement will be published on our external website for the entire world to see.

Distribution Guideline & Instructions

  • You must decide how, when, and if you will distribute a statement about your situation.
  • Your options include:
    • Publishing the completed statement to the web
    • Emailing the statement to all employees
    • Emailing the statement to the media
    • Sharing the statement in various ways with various stakeholders
    • If you use social media, you can share a link to your website statement. However, publishing too much to social media comes with consequences you may not like.
      • If this is a sudden crisis, your goal should be to publish a statement immediately on your website or to our public website.
      • If this is a smoldering crisis, use your best judgment to determine how soon you should share the information with your employees, the media, your customers, key stakeholders, and social media.
    • If any of these audiences are already spreading rumors about this situation, you should share the information as soon as possible to mitigate misinformation and rumors.
    • If you share the statement with stakeholders but fail to publish the statement to your website, you will face harsher scrutiny from the media than if you pro-actively alert the media.
