Admin Rights vs. User Rights

The SituationHub crisis communications software has two types of users. They each have different rights and confinements within the software. Some people are assigned to be a Company Admin and others are a simple User.

If you are a Company Admin or a User, you have the right to:

  • Log into SituationHub
  • Select an Event Type in the SituationHub
  • Answer questions in Event Types
  • Make edits or corrections once the statement is completed
  • Use the Alert Team button to notify team members about your event

Once the Alert Team button is used, a User has no edit rights.

After the Alert Team button is used, only a Company Admin can do further editing on a statement. A Company Admin can release their edit rights to another Company Admin.

The Company Admin also has the ability to use the Publish button to publish a statement to the Internet with one click.

Additionally, the Company Admin has the ability to add and remove users.

How to Add or Delete Users in SituationHub?

It is important to know how to add and delete users in SituationHub. Employees come and go, so new employees need to be added to your SituationHub subscription, and employees who leave need to be removed from the system as soon as they leave.

Because SituationHub can send a text notification to employees, you don’t want former employees receiving alerts, hence, you want to remove them as soon as possible.

Why Are Sentences Numbered?

When I complete a statement in SituationHub, why are the sentences numbered? This is a question we often get asked.

The numbered sentences assist you in several ways.

First, as the facts of a statement are being reviewed in the Situation Room, the numbers serve as a reference point for fact-checking and editing. For example, a team member can reference and say, “Sentence 8 says two people are injured. We need to update sentence 8 to say three people are injured.”

Secondly, a finished SituationHub statement is designed to be a ready-to-read news conference script. The spokesperson is able to use the numbers to keep track of where they are when reading the script. Additionally, the spokesperson can highlight key sentences that they may need to repeat as a follow-up answer during the question-and-answer portion of the news conference.

Note that when a SituationHub statement is published to the Internet in the Crisis Comms Hub, the numbers are removed so the statement looks like any other conventional document.

Likewise, if you are posting the statement to your own website or printing it as a news release, the numbers should be removed.

What is a preamble sentence? Why are they importaint?

The first sentence in every SituationHub statement is called a preamble.

The sentence is strategically designed and created to:

  • State the company’s operational goals
  • Acknowledge the company’s current difficulty in meeting those goals
  • Provide context to the event so you are not “taken out of context
  • Convey empathy as needed
  • Build a statement that can be repeated to re-emphasize context in a media interview

Each type of event in SituationHub has a unique preamble customized for the nature of the event and the type of company experiencing the event.

If I made a mistake while creating a situation, how can I correct or edit my error?

Once all questions have been answered for a situation, you click Alert Team. This sends the details into the Situation Room, where you can edit and correct your error.

WARNING: When users are proofreading a situation, DO NOT waste time editing the language structure of the sentences.

ONLY correct errors.

ASK: Is this true or not true? If it is true, do not waste time editing the language structure of the sentences.

SPEED is important. Valuable time is lost when Users begin to debate how a sentence is worded.

A critical purpose of Situation Hub is to get information to key audiences quickly. The sentences have all been “lawyer” tested, in that no phrase should give fuel to a plaintiff’s attorney.

Additionally, all sentences are written for the spoken word so that they are easy to read at a news conference.

Do I need to answer all questions before using Alert Team?

You want all members of your internal team to know immediately what situation is unfolding. This is called “situational awareness.” Ideally, you want to answer all questions about a particular situation. However, if you have dual responsibilities and you must perform another task, you can click the Alert Team button. However, another user with Company User credentials will have to enter the Situation Room to retrieve the event and complete all questions. That user can then click the Alert Team button again so that all Users can view the details of the unfolding situation.

SituationHub was created as a crisis communications platform designed to quickly gather information about a crisis and then convert that information into a news release or public statement.

Editing a SituationHub Statement: Who Has Edit Rights?

One important built-in feature in SituationHub crisis software is the ability to edit a crisis statement. There are various rights that a User and a Company Admin have to edit statements.

There are two types of users:

There are Users and Company Admins.

Everyone can log into SituationHub and initiate an event. This means you select a tab for the crisis that you are experiencing, you answer questions about the event, and then you can alert members of the crisis management team.

After the Alert Team function is used, a User only has “Read” rights and has no “Edit” rights.

A Company Admin has all rights that a User has. However, after the Alert Team button is used only a Company Admin can edit a finished statement and then publish it to the internet.
